Email segmentation
Email audience audit checklist before segmentation
An audience audit checks source, relationship, preferences, validity, duplication, and data reliability before creating segments. Segmentation cannot repair a contact file whose origins and eligibility are unclear.

Start with understanding the audience rather than adding more labels.
Trace sources
Record how each group entered and what it expected.
Inspect data quality
Review stale fields, duplicate identities, contradictory statuses, and missing ownership.
Define usable groups
Create segments only from reliable information with appropriate exclusions.
A practical example
A fictional firm separates old event contacts from confirmed newsletter subscribers before planning a campaign. It does not treat the entire file as one permissioned audience.
A decision checkpoint
Preserve unresolved audience questions explicitly. A source label such as “old contacts” is not enough to justify a campaign. Record what is unknown about the relationship and decide whether a group should remain excluded rather than treating incomplete provenance as a blank to fill with assumptions.
A mistake to avoid
A technically valid email address says nothing by itself about subscription status.
How to assess the result
Document unresolved groups and exclude them from inappropriate campaigns until the relationship is understood.
Put the work in context
Segmentation makes a message relevant to a defined audience. Start with information people provide and legitimate business context; avoid sensitive assumptions or treating uncertain activity as a complete picture of intent.
Write segment rules in plain language and inspect a sample before sending. Apply preferences and exclusions consistently, and keep subscriber audiences separate from outbound lists and active sales conversations.
A common question
Should every imported contact receive a segmentation survey?
No. First assess whether contacting that group is appropriate at all.
