Email automation
How to document email automations for an agency handoff
Automation documentation should show purpose, audience, trigger, steps, dependencies, exits, ownership, and recovery. It should let another authorized operator understand the workflow without guessing from the visual builder.

A screenshot alone rarely captures all conditions.
Record the logic
Write eligibility, timing, branching, and re-entry in plain language.
List dependencies
Identify source fields, forms, resources, integrations, and approved accounts.
Define maintenance
Name the owner, review triggers, and safe pause process.
A practical example
A fictional handoff includes the signup source field and its allowed values, so a new operator does not accidentally enroll outbound prospects into a subscriber welcome flow.
A decision checkpoint
Document the reason for unusual branches. A future operator may see a delay or exclusion and remove it without understanding the business requirement. Plain-language rationale helps preserve useful controls while making outdated assumptions easier to challenge during review.
A mistake to avoid
Undocumented field changes can break a workflow months after launch.
How to assess the result
Check documentation against live behavior during handoff and after major revisions.
Put the work in context
Email automation executes a defined process; it does not decide whether that process is appropriate. Start with audience eligibility, trigger, message purpose, stopping conditions, and a responsible owner.
Test representative paths before activation, including missing data, duplicate events, replies, purchases where relevant, opt-outs, and failures. Keep a record of which event causes each send and how the automation is paused or retired.
A common question
Should credentials be included in the document?
No. Record appropriate access procedures without exposing secrets.
